The Legal Assistant – Chief Quality Office provides administrative and paralegal support, and coordinates all matters relating to the documentation, tracking, and reporting of Governing Body activities relating to regulatory matters. The Legal Assistant – Chief Quality Office interacts professionally and effectively with the President’s Office, Chief Quality Office, Legal & Regulatory Office, QAPI & ECMS, Medical Staff Office and various stakeholders. In addition, the Legal Assistant organizes the Governing Body meeting including developing the meeting agenda, identifying appropriate presenters, collecting meeting documents and creating the meeting packet. The Legal Assistant also handles multiple tasks simultaneously, as needed, while providing efficient business office operations to the department.
Key Functions Governing Body Declarations

  • Assists with preparation of Governing Body declarations, circulates for required reviews and feedback, and makes appropriate updates
  • Prepares declarations for signature and obtains all necessary signatories
  • Distributes and communicates declarations as appropriate
  • Collaborates with Medical Staff Office, QAPI, ECMS, etc. to ensure all requested Governing Body approvals follows the established processes

Governing Body Approvals Database

  • Provides administrative and paralegal support to document, track, and report applicable Governing Body approvals
  • Manages database containing Governing Body approvals
  • Ensures requests are documented accurately in database including any supporting documentation
  • Provides closed loop communication to requestor as needed
  • Monitors request inbox and processes requests in accordance to established processes
  • Creates reports of Governing Body approvals as needed

Governing Body Meeting Coordination

  • Maintains Governing Body meeting calendar
  • Develops meeting agenda based on priorities from the QAPI/ECMS, COO, CQO, CME, and President’s office
  • Communicates appropriately to presenters ensuring invites are sent and meeting materials are received
  • Organizes Governing Body meeting packet with necessary meeting materials

Governing Body Administrative Support

  • Coordinates related meetings for discussions as needed
  • Provides input to develop appropriate workflows and database design to maximize accuracy and efficiency
  • Maintains knowledge of regulatory requirements related to the Governing Body and QAPI roles
  • Displays interpersonal skills including but not limited to critical thinking, written communication, and adaptability and is detail oriented
  • Has successful experience dealing with and exhibits discretion when handling confidential, highly sensitive, and privileged information
  • Maintains project management skills and demonstrates ability to manage stakeholders, deliverables, and timelines

Requirements Other duties as assigned

Required Education: Bachelor’s degree. Required Experience: Two years experience in a legal or regulatory environment. May substitute required education degree with additional years of equivalent experience on a one to one basis. Preferred Certification: Certified Legal Assistant (CLA) by the National Association of Legal Assistants.
